How we collect and use your personal data.

Introduction
The National Organisation for Practice Teaching (NOPT) is a voluntary organisation with membership from individuals interested in practice learning and social work education. The organisation is managed and run by unpaid volunteers working in their own time. We are committed to promoting quality practice learning opportunities in social work settings for learners working across a continuum of training and education. Given that the volunteers are based throughout England there is no office address. Where an address is required the address of one of the co-chair’s is provided.

The National Organisation for Practice Teaching is committed to protecting and respecting your rights. This policy sets out the basis on which any personal data we collect from you, or that you provide to us, is used.

Customer Data Collection
We will collect basic personal data about you, including:

• Name
• email address
• Local Authority / Private and Voluntary / Independent
• Locality

Why we collect data

• We require some personal data from members to fulfil our contractual relationship. We will not collect personal data that we do not need.

• We will only collect and use data you provide with your consent. This will be used to send communications that you have consented to receive.

• Personal details will not be available to third parties.

• Third parties who request access to members for research purposes will be asked to submit a request which NOPT will send to individual members for a direct response to the third party.

• To measure activity NOPT may ask for statistical information regarding number of replies but will not request specific information regarding members individual names or their responses.

Conferences
We hold an annual face to face conference at which we may take photographs or videos. Permission for these will be requested at the actual event.

Online registration for conference events will be collected by the third party organising registration commissioned by NOPT. Personal information will be required for attendance purposes. Registrants will be subject to the terms and conditions and privacy notice of the third party.

Where NOPT holds an online event, any personal information requested will be those required by the relevant platform. Members would be asked for name and email address to access the event and be subject to the terms and conditions and privacy notice of the platform. At such events registrants are requested to switch off their cameras and audio.

Storage and protection
NOPT will comply with General Data Protection Regulation.
This data is held and retrieved to allow us to:

• send information emails
• manage your login details for our website
• administer any contract/s that may exist
• understand your use of our website/s to fulfil a Record of Engagement.

Our website
Our website holds a minimum amount of personal data that is designed to permit authentication (logging in).

We retain no personal data on un-authenticated anonymous users.

Data retention
We will only retain your personal information for as long as necessary to fulfil collection purposes.

Personal data is removed by NOPT:

• When an individual requests removal of their personal information.
• When a member withdraws membership.
• When email accounts are no longer authenticated.

Your rights of access, correction, removal
It is important that the personal information we hold about you is accurate and current. Please keep us informed if your personal information changes during your working relationship with us.

Your rights to:

• Request access to your personal information.
• Request correction of the personal information that we hold about you.
• Request removal of your personal information.

Website development
We have used Indigo Multi Media Ltd., to build our website. The contractor is subject to strict rules about data access and handling and have access to our servers. The contractor has its own policies and security to meet GDPR.

Data Security
The web site administrator will only process your personal information on committee instructions and are subject to a duty of confidentiality.

You will be notified of any suspected security breach.

Physical Records
Our paper records are minimal but can include printed contracts, printed event information and other small sources of data used in day-to-day office activity. Personal data held on paper is digitised and the paper is destroyed as soon as possible.
